Refund & Cancellation Policy

1. Purpose of Policy

At the International Society for Renal Research (ISRR), our mission is to accelerate scientific advancement and professional collaboration in nephrology and associated fields, including diabetes and cardiometabolic research.

This Refund & Cancellation Policy outlines the terms governing registration fees for ISRR-organized conferences, workshops, webinars, and other paid events and services. It is designed to balance fairness with operational needs, ensuring transparency for participants while enabling ISRR to continue its scientific, educational, and advocacy initiatives.

By registering for any ISRR event or service, participants acknowledge and agree to the terms outlined below.

2. Participant Cancellation and Refunds

a. Submission of Cancellation Requests
All cancellation requests must be submitted in writing via email to 📧 info@theisrr.org

Cancellation requests submitted via phone or verbal communication will not be accepted.

b. Refund Eligibility Based on Timing
Refund amounts depend on when ISRR receives the cancellation request relative to the scheduled event start date:

More than 60 days before the event Full refund (minus administrative processing fee)
30–60 days before the event 50% refund
Within 30 days of the event No refund

Approved refunds will be processed within 30–45 days following the conclusion of the event or receipt of your request, whichever is later. Refunds will be issued in the original form of payment where possible.

3. Registration Transfers

Participants unable to attend may request to transfer their registration to a colleague or to a future ISRR event.

  • All transfer requests must be submitted in writing to info@theisrr.org
  • Transfer of registration does not automatically guarantee a refund unless ISRR explicitly approves a cancellation under Section 2.
  • ISRR may charge an administrative transfer fee at its discretion.
4. Event Postponement or Cancellation by ISRR

ISRR endeavors to deliver all scheduled scientific and educational events. However, IF an event must be postponed or canceled due to unforeseen circumstances (such as government restrictions, public health concerns, or other force majeure events):

  • Registered participants will be notified promptly by email.
  • Participants may choose one of the following:
    (a) a full refund of the registration fee (less processing costs), or
    (b) transfer of registration to the re-scheduled event or another future ISRR program at no additional charge.
  • ISRR will not be responsible for travel, accommodation, visa, or other incidental costs incurred by participants due to event changes.
5. Non-Attendance Policy

Participants who do not attend the event and do not submit a prior written cancellation request will not be eligible for a refund.

6. Additional Services

Fees paid for optional services (e.g., publication fees, exhibition booths, workshop add-ons) may have separate refund terms, which will be provided at the time of purchase.

7. Force Majeure

If an event cannot be held due to circumstances beyond ISRR’s control, such as natural disasters or government actions, ISRR may retain fees to the extent necessary to cover unrecoverable expenses. In such an event, participants will be offered a fair option of credit or refund.

8. Policy Changes

ISRR reserves the right to amend this Refund & Cancellation Policy at any time. Any changes will be posted on the official event or ISRR website and apply to future registrations.
